Keep your Notion as-is, live in ~2 minutes
Kapsel watches your Notion due dates and emails reminders automatically. No special setup — three steps and reminders reach both your team and people outside Notion.
Connect Notion
One-click connect via official OAuth. Kapsel finds your due-date, assignee and status columns.
Set message & timing
Just pick “3 days before / day of / after due.” Use merge fields in the message.
{{assignee}}, {{task}} is due {{due}}The rest is automatic
Sends at the times you set. Replies land in Notion, and done/paid are never emailed.
Setup, step by step
A little more detail on each step.
Connect Notion
On Notion’s official authorization screen, choose which pages/databases Kapsel can access. We never receive your password, and you can disconnect or reconnect anytime.
Pick the pages Kapsel can access, then connect.
Sign in with Notion to connectChoose a database to watch
Pick your database and Kapsel auto-detects the “due date,” “assignee” and “status” columns. If anything’s off, re-map it manually. No date column? You can create one on the spot.
Set timing and recipients
Pick multiple send times — 3 days before, the day before, the day of, after due. Recipients can be you, your team (assignee), or people outside Notion (email column), and you can filter the target by owner or type.
Write the message with merge fields
Click a Notion column name to drop in a merge field. Each recipient gets a personalized email — no more “Dear all” blasts.
Auto-send → replies sync to Notion
Sends at the times you set. Recipients just tap a button (no app, no sign-up). The result writes back to Notion’s status, done/paid are never emailed again, and every send is logged.
Updates on their click. Done/paid are never emailed.
What they get is one email with a button
The recipient just taps a button — no app, no sign-up — and the Notion status updates automatically.

Setup examples
Team due-date reminders
Send to the assignee (email) column the day before and day of. Done syncs back to Notion.
Client confirmations
Send to the client’s email column to chase assets or reviews. No Notion needed on their side.
Invoice follow-ups
Only chase overdue, unpaid rows. Never sends to a “paid” status.
Weekly recurring sends
“Every Friday, send unfinished items to each owner” keeps the team moving.
Troubleshooting
QNotion notifications don’t reach people+
Often that’s by design, not a misconfiguration: Notion notifies people who use Notion. Kapsel emails anyone — including people without a Notion account — so reminders actually land.
QHow do I reach someone who doesn’t use Notion?+
By email — no account needed on their end. Point the reminder at your database’s email column, and Kapsel delivers a one-click confirmation email.
QWhat’s the difference between reminder types?+
Notion’s built-in @remind and date-property reminders notify Notion users. Kapsel adds an outbound layer: scheduled emails, overdue follow-ups, and replies that sync back to Notion.
