Kapsel / Notion due-date reminders

Stop chasing.
Kapsel sends it for you.

A person relaxing instead of chasing reminders, while an email sends itself and gets a checkmark

Kapsel watches your Notion due dates, assignees and statuses and emails reminders — to teammates and to clients who don’t use Notion. When they tap the reply button, your Notion status updates automatically.

Three steps, and chasing stops being your job

Members don’t check Notion. Clients don’t use Notion at all. Kapsel takes over that “reaching outside Notion” for you.

A person in the middle sends email that reaches both an internal teammate and an external client who doesn’t use Notion
1

Watch Notion

Kapsel checks the due date, assignee and status in your connected database.

2

Email the right people

Teammates, and clients without Notion. Auto-sent at the times you set.

3

Replies update Notion

They just tap a button. The status changes, and done/paid items are never emailed again.

For example, this is the one email they receive.

Automate everything your Notion team sends outward

Every feature exists to take chasing off your plate — arranged by the work it removes.

Reaches people who don’t use Notion. Clients and vendors only need email — no app, no signup, no login. Unlike Slack or built-in reminders, it doesn’t assume the other person is on Notion.

Staggered reminders

Pick multiple times — 3 days before, day before, day of.

→ Fewer “oh, it already passed” moments

After-due nudges

Nudges at a set interval after the due date. Stops when they mark it done.

→ No more chasing it yourself

Never emails done/paid

Right before sending, it re-checks Notion and skips “done” or “paid”.

→ Prevents the scariest mistake: double-chasing

Your words, merged in

“Hi {{Assignee}}, {{Task}} is due {{Due}}” — click a column to insert it.

→ Feels handwritten to each person

Target filtering

Filter by owner or category to reach only who you mean.

→ Never send to the wrong people

Send log

Who, what and when is recorded automatically.

→ A record for “he-said / she-said”
Build your reminder cadence

Staggered 3 days before, day before and day of. Nudges after due, and stops automatically once done or paid.

A person working at a laptop — the more external confirmations and payment chases your work has, the more time you get back

Web/agency, freelancers, professional services and ops teams — the more external “confirmations” and “payment chases” you have, the more time you get back. See use cases for concrete scenarios.

How it differs from Notion & Slack

Both are handy, but they notify people who use Notion. Kapsel reaches external recipients, both ways.

Built so mistakes are hard to make

Both the Notion connection and email sending are designed to avoid accidents.

Official OAuth

We connect via Notion’s official authorization. We never receive your password.

Tokens encrypted at rest

Connection info is stored encrypted. Never shared or sold to third parties.

Disconnect = instant stop

One click disconnects and stops every send on the spot. Unsubscribed contacts are never emailed again.

Kapsel is built and run by one person

There’s no big-company support team. In exchange, your feedback goes straight to the developer, and features are built one at a time from what you actually need. Anything you get stuck on reaches the developer directly through the contact form.

FAQ

QDoes the recipient (teammate or client) need anything?
A

No. If they can receive a normal email, they’re set — no app and no sign-up. To confirm, they just tap a button in the email.

QHow is this different from Notion notifications or Slack?
A

Notion and Slack notify people who use Notion. Kapsel emails anyone — including clients who don’t use Notion — and the recipient’s one-click reply writes the status back to your Notion database. It works both ways, for internal and external recipients.

QCan I send to my whole team at once?
A

Yes. Using the assignee property (email), Kapsel reminds each owner individually. “Only open items, to owners” or “every Friday” are easy with filtering and recurring sends.

QCan I embed it inside Notion?
A

Yes. Copy the URL from “Embed” in your dashboard and paste it into a Notion page — manage rules, upcoming sends and history without leaving Notion. See the embed section of the guide.

QCan it issue invoices?
A

Kapsel isn’t an invoicing tool. Keep issuing invoices with your current service — Kapsel automates the “notify, confirm and chase” that comes after.

QWhere are the emails sent from?
A

From Kapsel’s authenticated delivery server (notify@getkapsel.com). How the sender appears depends on your plan.

  • Free / Standard: your name (team or brand) shows as the sender, and replies go to your email.
  • Pro: sender branding — set company name, signature and logo to match your brand. Custom-domain sending is planned.
QHow do I cancel?
A

Anytime. Disconnect and every send stops immediately. Contacts who unsubscribed are never emailed again.
